Temporary Administrative and Development Coordinator Greenbelt – Essex County’s Land Trust
Temporary position, to be filled immediately through October 15, 2021
30 – 40 hrs/week in-person at Greenbelt’s Cox Reservation and Headquarters, Essex, MA
POSITION OVERVIEW
The Temporary Administrative and Development Coordinator assists in meeting Greenbelt’s fundraising goals by providing critical operational support and managing donation processing and
acknowledgement. In addition, the Temporary Administrative and Development Coordinator provides front office and operational support for all departments
RESPONSIBILITIES:
Gift Processing and Acknowledgement
Administer Greenbelt’s gift processing using Raiser’s Edge and Luminate. This includes the accurate and timely processing of all gifts, the commitment of funds, and
preparation of deposits for Finance and Operations Manager.
Manage the creation, execution and timely mailing and audit-ready recording of all gift acknowledgements, including a library of standard and special gift acknowledgement
letters.
Reconcile transactions with the Finance and Operations Manager monthly to ensure accurate gift reporting.
Maintain and update accurate donor records in database
Front Office Management
Greet and assist visitors (office is temporarily closed to visitors due to COVID)
Manage all aspects of the front office, including general mail distribution, emails and phone messages.
Manage online store, fulfill orders (books and other items)
Manage copier, mail meter, etc., and ordering all office supplies, as neede
Mailing Support
Manage mail funds at Post Office account and on in-house mail meter
Assist with Bulk Mailings: organize mail and complete bulk mail forms.
Monthly Membership Renewals
Merge and print monthly membership renewal letters
Schedule and coordinate volunteer assembly of mailings (temporarily remote due to COVID, returning to in-person when safely permissible)
Finalize mailings and send them via bulk mail
Social Media
Regularly provide, schedule and post content on our Facebook and Instagram accounts
Events
Support Events and Outreach Manager, and assist with fundraising events, as needed
SKILLS
Database experience required; Raiser’s Edge or other donation management database experience preferred
Gift Processing experience preferred
Proficiency with Microsoft Office Suite (Word, Excel, and mail merge function) required
Customer service/support experience preferred
Strong organizational skills and ability to multi-task required
